A searchable company database of available resumes can be scanned at any time to find the best candidates. This makes it easier to fill a task or position in the company, whether temporarily or permanently.
The external recruitment function allows you to define any vacancy requirement. Any type of activity, such as creating job ads or finding consultants, can be associated with recruitment. Applicants can be chosen based on the stated requirements, and if they are not hired, their information can be saved for future recruitment. It allows you to keep track of any application activity, such as interviews, medical certificate submissions, and so on.
Vision HR automates administrative tasks in the recruitment process, such as notifying candidates, generating “Letters of offer,” creating the candidate’s appointment, and automatically transferring resume details to the employee master. When a candidate is hired, the employee profile becomes active immediately. You can use workflow to automate communications and coordinate critical activities with other departments such as payroll, perquisites, and training requirements. It guarantees that the employee receives all of the resources that were planned for him or her during the recruitment process.
The system maintains an exhaustive record of the employee during his tenure with the organisation. Following is an indicative list of details, which can be maintained:
Payroll is one of the most sensitive administrative procedures in a company. Any disturbances in the payroll function can cause unwelcome irritation for both employees and administrators.
Since it is once in month exercise with small lead times for processing, any correction of errors is a difficult and laborious task. It is therefore essential that the payroll function provides your organization with all important information it needs with regard to personnel costs, work hours, and many other details involved with it on time and accurately.
Vision Payroll can process all this information. It allows you to make an unlimited number of test payroll runs and use both standard and custom reports. Since Vision Payroll is fully integrated with other areas of Vision, information transfers are automatic with a minimum number of entries. Vision Payroll can be easily modified to meet specific statutory requirements.
Proteus Vision HR pay structure has been designed in a manner that provides versatility and flexibility for payroll administration.
The diagram explains how the pay structure can be linked to departments, location, cadre & grade of the employees. Allowances / deductions can be defined at any level with the flexibility to define month (period) specific allowances or deductions. The module also has provisions to add any number of allowances / deductions. Users also have the option to define formulae for allowances / deductions.
Vision has strong capabilities to handle multi-site structures, different companies within a group can easily use the Payroll Administration. Tables containing pay elements, formulas, balance templates, and other system functions can be used together or separately by individual companies or in any combination.
Time and Attendance allows you to manage employee absences and hours worked more efficiently. The data collected in Time and Attendance is then used in payroll administration.
Attendance can be captured from a recording machine or manually entered at sites that do not have time recording machines. To be considered for attendance, approved official tour days or “Off-Site” attendance can be configured.
Overtime compensation models can be configured with specific rules governing the compensation of available overtime and the permissible overtime periods.
Attendance Management, which is seamlessly integrated with Payroll, handles multi-faceted reporting on vacation, illness, personal leave, Medical Leave, maternity, and other types of leave based on company policies.
Vision HR Payroll Administration does not keep cumulative values. A balance is calculated when needed by using the original transactions. This lets you change the criteria for creating balances any number of times, between any number of dates. It also allows you to run arrears calculations based on the pay structure applicable to the employee at a point in time.
The system projects Income Tax liability based on details provided by the employee. Vision is provided with a re-calculator, allowing the payroll administrator and employees to recalculate their IT liability at any point of time. Advances can be created automatically to ensure the statutory requirements of minimum earnings of an employee.
Vision ensures that employees get their salaries as per their requests of payments methods. The mode of payments can be a Bank advice, electronic transfers or Cheques. In case of outstation payroll processing the system calculates the funds required to be transferred to outstation sites and initiates the funds transfer process.
Vision HR provides a facility to run a payroll for selected employees. This is useful, when employees leave the company. A payroll run produces all relevant reports and transfers. You can carry out a payroll run any number of times, including for test runs.
On confirmation of a payroll, accounting details are automatically transferred to the Finance module and corresponding accounting entries are generated.
Arrears payment arising due to difference in attendance, change in salary structure on account of promotions, transfers, deputation etc. can be effectively calculated from multiple prior periods. The system can be configured so that the arrears calculations are effected on all or some of the pay elements of the salary.
Vision is configured to handle most of the employee benefits prevalent in the country today.
Leave Eligibility rules can be defined as per company policy.
LTA, Bonus and Gratuity are calculated as per predefined formulae. The system maintains the balances at any point of time. Perks & Reimbursement are defined as per eligibility norms and company policy
Excess/less claim settlement in full and final.
Loans & Advances – A number of loan schemes for e.g. Vehicle loan, housing loan, soft furnishing loan etc. can be defined with eligibility rules specified and verified for applicability. The system automatically creates the payment schedules and ensures deductions.
Loan transactions get reflected in accounts directly providing up to date information on the Principal outstanding and interest.
All changes in the employment terms are tracked by the system. Pay structures can be changed from an effective date to calculate arrears. Changes arising in perks and reimbursement are recalculated to the balance amounts automatically
VisionHR has a very comprehensive module to handle transfer of employees in an organisation or within group companies. On transfer of an employee the changed pay structure will automatically take effect. The system is equipped to take care of in- between month transfers, it takes the relevant pay structures for the period to calculate the month’s figure. It also ensures that allowances are calculated separately and deductions are applied on total allowances. The system will prompt for employee wise allowance / deduction setting
For employees sent on deputation to a group company, the payroll is obtained from the new company. The system is configured such that the statutory reports such as PF reports reflect deputed employees in the original company.
Vision monitors both Effecting events like confirmation of employee, marriage, addition in the employee family, etc. which change the employee compensation / perks, statutory reporting and Non effecting events such as achievements, awards, disciplinary actions or any other defined by the users. The monitoring function also reminds of important events such as dates for career reviews, company car changes, employee medical check-ups, renewal of ID cards, and so on. This function can also be used to keep track of essential information such as valid visas, certificates and various kinds of licenses, statutory obligations
Details of the appraisal process are captured by the system. Ratings of the employees for various areas like skills, traits, performance and overall rating are registered.
During the appraisal process the appraiser can see the pay structure and history of employee events such as increments, promotions, disciplinary actions, training needs identified in the past, performance ratings etc.
New training needs of the employee can be identified.
Vision maintains a table of training courses /programmes which can be administered locally or by external agencies. The training function draws its requirements from the appraisal and plans the training programmes across the organisation. It also allows the HR personnel to view the pending training requirement at any point in time and verify training expenses with budgets. All expenses incurred for training are automatically transferred to accounts and a payable is created.
The system automatically sends no dues communications to various departments associated with the employee across the organisation. On activation of the Final settlement the total accruals (Bonus, LTA, Gratuity, Perks/ Reimbursements, Leave), total recoverable (Loans, Advances, Perks / Reimbursements), Notice pay and any other recoverable to the organisation (dues to other departments, outstanding payment of any dues wherein the employee is also a customer). The system also supports VRS calculations.
Vision Self-Service enables employees to execute routine HR inquiries and participate directly in managing the HR business and tasks. Employees perform such tasks as updating personal information, applying for training courses, updating their profiles, and completing self-assessment forms, inquire about their leave balance positions, and calculate Income tax liability. Line managers can engage in HR administration activities such as hiring, promoting, and reviewing their employees and seek instant answers on headcount, employee costs, and deployment.
Vision Work Flow, a state-of-the-art workflow engine, guides single or multiple users through the full cycle of a HR business process. The self-service and workflow functions facilitate the access of information across all levels in the organisation and across various locations. It also ensures that every essential step of a business process, including approvals, is followed with limited involvement from the HR professionals. This reduces the time spent by HR on administrative tasks, increasing strategic activities, delivering the maximum value for the organisation’s investment in people and reducing administration costs.
Vision provides an exhaustive list of reports for each functionality in the module. It provides a number of statutory reports. The system can be configured to provide a number of customised reports.
